UKG Ready Integration
UKG Ready Integration

With the UKG Integration, a TripLog Enterprise account is required. Please register and complete the setup process before configuring the integration.

Configuration Steps

Create a UKG Security Profile

To allow the integration with the correct permissions the customer needs to create a new security profile for the integration connection. Follow the permissions in the UKG Security Profile to create a new security profile with the correct permissions.

Setting > Profiles/Policies > Security > New Security Profile

Choose a USER NAME (eg triplog)

Select the following permissions:

Global>Global Setup>Earnings and Deductions Lists: Enable View/Edit/Add/Delete

Global>Object Lists>Earnings/Deductions: Enable View/Edit/Add

HR>Employee Management>Employee Information: My Team View only

HR>Employee Management>Account/Personal Information: Manager Access View only

HR>Employee Management>Earnings View/Edit

Modules>Imports: Select Employees

Modules>Import: Select Overview/Templates

Modules>REST API Resources>Employee Pay Information: Select View/Edit

Modules>REST API Resources>Employees: Select View only

Reports>Reports>Export Reports: Select CSV/Text

Reports>Audit Reports: Select Data Imported

Example Menus and Pictures:

Global>Global Setup>Earnings and Deductions Lists: Enable View/Edit/Add/Delete

Global>Object Lists>Earnings/Deductions: Enable View/Edit/Add

HR>Employee Management>Employee Information (My Team): Select View only

HR>Employee Management>Account/Personal Information (Manager Access): Select View only

HR>Employee Management>Earnings: Select View/Edit/Mass Edit

Modules Imports: Select Employees

Modules Imports: Select Import Overview/Templates

Modules>REST API Resources>Employee Pay Information: Select View/Edit

Reports>Reports>Export Reports: Select CSV/Text

Reports>Audit Reports: Select Data Imported

Be sure to Save settings after updating the Security Profile. You are able to export the PDF for the Security Profile Settings if needed to review the changes.

Set up the Service Account

The customer will need to set up a new service account in UKG using the newly created Security Profile and create the username and password for that service to connect form Triplog.

  • Setting > Global Setup > Company Setup > Login Config > Add Service Account

    • Enter
      Username: triplog
      Password: create password

      Security Profile: (select the Created Security Profile)

  • Save Settings

Generate the API Keys

On the Login Config page, find the API Keys > Generate

Store these in a safe place for the next steps.

TripLog Configuration

Connect to UKG Ready

  1. Navigate to the Integrations Link and Select UKG Ready from the Menu

  2. On the UKG Ready Page select Connect to UKG Ready

  3. Enter the Company Name, Service Account User Name, Service Account Password and API Keys that were generated in the previous steps.

  4. When Entered click the Authorize to continue. If all items were entered correctly the process will continue and will be connected. If there is an error please correct the item/s identified and retry the connection.

Configure the UKG Link

The next step will be to link the UKG account to TripLog Expense Categories. If you need to configure or customize the Expense categories please complete that prior to linking.

On the UKG Ready Page, you will now see the UKG Settings link. Clicking on it will show you a menu similar to the one below where you can choose to link the TripLog items to the corresponding UKG account. Be sure to save once you have linked all of the desired connections.

Importing Users (Workers)

Navigate to the Manage Users page in TripLog, you will see the Import UGK Users button. Clicking this will open a new window and pull the currently list of employees in your UKG Account. Note this may take longer if you have many users.

Selecting the Users

In the new window there will be users with Checkboxes next to their names. These users are generally not imported and do not have a TripLog account created. If a user does have a linked Triplog account the box will be missing, the line is greyed out as well as the associated Triplog Email listed in the far right column.

To import a user select the checkbox of the users that you would like to add then click the Import Workers button. If you close out of the page no changes are made.

When Importing Workers the TripLog account will be added with the associated Work Email and the user will receive a Welcome Email stating that they are able to use TripLog. Please note that this process is automated so add users when ready for them to begin.

Uploading Collected Mileage and Expenses to UKG Ready

Once there is data in the user accounts and the information is ready to be uploaded. Navigate to the UKG Ready Integration Page.

Update the filters to include the data that you would like to send to UKG Ready. Click the Upload to UKG Ready and confirm by entering the Pay Period Start Date and End Date then Clicking Upload.

Reviewing the Data in UKG Ready

Navigate to the UKG Ready Web Account > Team tab > Payroll > Pay Periods by Employee > click employee information button > view Employee Profile > Payroll tab > Earnings -> the uploaded entries will show up there.
