How to Enable and configure the Commute Mileage Exemption

Daily Commute Mileage Exemption

To Configure the Daily Commute Mileage Exemption setting is available in the Manage Settings > Mileage Policies

Subtract the daily total mileage of all trips by this value. Set the value on the user profile under Manage Users > Mileage > Deduction for Commute Miles. This will be reflected in the Daily Summary report and the Commute Mileage Report. Any integrations will use this value as the final total that will be upgraded.

Commute Deduction Options:

The commute deduction will deduct the values of the commute based on the miles or kilometer value in the user's profile.

Total Trip Mileage of the Day

This will remove the Commute Mileage value from the total of the days mileage. This value should represent the amount you will deduct for the commute. This is processed in Reporting and Upload to Payroll only.

Example:

User's commute value is 10 miles.

If the total driving for the user is over 10 miles for the day then the balance of the mileage would be reimbursable.

If the total is less than 10 than the user will not have any reimbursable mileage for the day.

Both the first and the last trip of the day

Will deduct the mileage from the trip based on the deduction value up to the total of the trip, this is applied to the first and last trip of the day. (there is no carry over for trips shorter than the deduction value). The admin would enter the One-Way Trip Value for the Commute Mileage amount.

Examples:

If the user's commute value is 10 miles.

If the first trip of the day is over 10 miles it will update their mileage on the web, reports and uploads to reflect the balance of the trip

If the first trip of the day is less than 10 miles it will deduct the entire trip but only up to the value of the trip. (If the first trip of the day is only 5 miles to their first stop then it will deduct the entire trip but only 5 miles)

It will repeat this logic for the last trip of the day.

Trips will show up on the Mileage page on the web with a Net Mileage Column. This is the post deduction value.

Only the First Trip of the Day

Entering the Commute Mileage Value

You are able to enter the value into the user's profile under Manage > Users. Click on the user and choose the Mileage Tab. You are able to enter the commute value in this field then save the profile. Calculations will be processed immediately.

If you need to add the commute value to multiple users you can do so on the User Import when adding users by populating the Commute Mileage column or you can update the users after importing with the Import Commute Mileage sheet.

Import Commute Mileage Tool

To use the import mileage tool Navigate to the Manage > Users > Import > Import Commute Mileage. Download the import template.

Complete the template with the TripLog account email then the Home and Office address for the commute. This process will calculate the driving distance from the 2 locations and update the Commute Mileage field based on the import.

When importing you can choose the One-Way or Round Trip options to identify if you want the one-way value or the roundtrip value entered for the Commute Value. If you are using Total Trip Mileage then use the Round trip option. All others you will use the One Way option.

Daily Mileage Cap

Limit globally how many miles are reported daily in the trip summary and sent to downstream systems.
