Introduction to Trips with the TripLog App:
In our previous video, we covered some of the tips and best practices to make sure your TripLog app works for you. In this course, we will be covering the basics of the app and recording your first trips.

Manual GPS Tracking

With all of our available autostarts you will still have the option to override the automated tracking and manually track a trip. Note that your company policy may not allow you to submit manually tracked or manually entered mileage without additional reasoning provided so be aware of your company policies and consult with your Administrator for your company’s specific policy.

When starting a Manual GPS trip the app will remind you that you have an autostart configured. Manual Tracking will only start and stop when you initiate it through the app or associated widgets. If you start a trip you will need to remember to end the trip or it will continue tracking until you do. This may cause issues in your tracking and accuracy of reporting so be aware of this. Also you generally want to avoid tracking a whole day of driving as a single trip as there are audit tools that may flag this since there is more mileage than the distance between the start and end of the trip.

Create a new Manual Entry
If you need to add a trip in the past you are able to do so with the Manual Entry process. Note that your organization may not allow you to be reimbursed for non-GPS tracked trips. Please check with your Admin to validate your policy.
To begin adding a Manual Entry you will navigate to the Trips Page and Tap on the green circle start icon, which will bring up the manual trip option. Select Manual Entry, the app will automatically associate with the last travelled location. If you need to change that you can add a new location or select an existing location in the From Location and To Location fields. When both are selected the query driving distance tool will recommend a driving distance and time. Click apply to confirm if you want to accept the driving distance and time, then add any additional details in the show more section. Please note that it will update the odometer value based on the last recorded value so if you are adding a trip in the past, be sure to update the odometer to the correct starting value.

Recording a Trip
When a trip is being recorded it will display a live map view if data is available. If you are in poor signal and the map cannot update do not worry as the GPS locations are still being recorded and will update once back in coverage. There will be a red trip line indicating the active or running trip. This will update once you complete the trip with the autostart or manually stop it. Remember to save if you manually stop the trip and add any additional information

View Trips
To review any of your trips, you can select the date at the top right choosing the month. And then the trips are sorted by day and then ascending or descending based on your selection in the settings menu when you expand the day, you'll see the trips that you have available you can click on the line in between the two locations to select the trip to view and edit.

Edit Trips
When you click on the trip to edit it you will This is where you can update the information regarding the notes tags details of the trip. Please note that depending on your organization settings, you may not be able to modify some of these options. Also, if there are any required fields, they are required to be updated in the edit trip screen. Be sure to save when completing any edits.

Location Management
The app will automatically record locations on your trips and updating your locations in the application is as simple as clicking on a location that was used this may be a street address or name address, depending on how it was previously saved

When you're in the location edit screen, you can add a name and simply save it and this will update all locations that were used with this address. You can choose to select a different location if you have a different location that is already corrected for that address

Adjusting the details of the location will allow you to fine-tune the locations to the correct street address/number. The location is recorded based on the latitude and longitude of the stop based on the actual location. This may vary the street number that is recorded based on the reverse geocoded location again, exercise caution when modifying locations as it will modify previous trip that used this location

Submitting Mileage in the TripLog App:
If your company has enabled the option to submit records for approval you can choose those items to submit in the Submission Menu. Under the main menu you will see this option if enabled. To submit your mileage expense or time you will want to review your entries in the corresponding menu to make sure they are correct and up to date.

Navigate to the Submission Menu:
Opening the submission menu you will see there are options to filter your view of your available submissions, pending approvals or already approved items. You can submit the records once you have reviewed them by choosing the SUBMIT button under the Not Submitted Section. This will pop up a window to add notes to your approving supervisor or manager that will be in the submission notification they receive. Note once you have submitted your trips any edits on the submitted trips will not be reflected as the record is locked, so make sure your notes and information are up to date prior to submission.

Manual GPS Tracking and Manual Entry

Manual GPS Tracking

You can manually start a GPS-tracked trip by clicking on the Green Circle Start button on the Trips page. This will start a trip using GPS but will on stop when the Red Stop button is clicked. Please be sure to Save to record the trip.

Manual Entry

You can manually enter trip information by entering a start and stop address, using the query driving distance function to automatically look up the driving distance and time. Then add any additional details, then save. Please note that manually adding a trip will mark the trip as a manual entry and that the autostart was not used.

Submission

To submit trips for approval your company needs to have set up the approval process. if you have the option available you can navigate to the Approval or Submission menu to select your items for submission. You will need to select the timeframe and type to submit. When submitting you will add a note to your supervisor as an option for the record. One submitted it will show you the current status of any of the records.
