Setting Up the TripLog App
Welcome to TripLog, previously we covered how to download and log into the TripLog app. In this video we will cover the app setup and permissions as well as adding your first vehicle.
Setting Up Permissions:
When you first get logged into the app you will be prompted with a few options to accept some permissions these may prompt differently depending on your device. For this training, we will be using an Android device.
Location Permission:
The location permission is very important to ensuring the app can properly record your trips and mileage in the app. The location permission does need to be set to Always Allow with Precise Location turned ON. This will ensure that even if you are recording a trip and switch apps TripLog will still be able to record the trip accurately.
A few notes about the location permission, If you choose “while in use” or “while using the app”, the Triplog app will not have your location if you switch to a different app or the screen is off. The operating system may remind you that TripLog is using your location and ask you if you want to change to While using but remember to Always Allow or Allow All The Time for proper function.
Storage Access Permission:
Another required permission the app will ask for is to Access “photos, media and files” or some variation. This is to allow TripLog to save trips and related items to the device.
Other Permissions:
If your company opted for additional features like expense tracking, driving safety, or other upgraded features there may be additional permissions required to operate them.
Camera Permission:
Camera Access is needed if you want to capture receipts or use any of the OCR functions like the odometer tool
Nearby Devices Permission:
Nearby devices is required to use Bluetooth functionality for Car Bluetooth and our hardware tracking options.
Background Tasks/Battery Optimization:
The phone may ask you to allow the app to run in the background and disable battery optimizations. This is needed for the auto start to properly function and accurately capture mileage if the app is in the background.
Troubleshooting Permissions:
If you are not sure permission is allowed correctly or you accidentally chose the wrong option you can navigate to the Menu, Autostart, and system permissions to validate the option is correctly chosen. If there is an issue you can click on the item with a yellow or red circle and TripLog will send you to the correct menu in your device to authorize the correct permission or prompt you with the option to correct it.
How To Create a Vehicle:
For you to begin tracking mileage you will need to create a vehicle. While the setup process may have created one automatically or your company may have created one for you. We will make sure it is set up correctly.
Navigate to the vehicles menu. If there is not a vehicle there you can add one by clicking on the add vehicle or plus button to create a new vehicle. If there is one but it is named differently than you would like you can also edit that vehicle. You can update the Year, make and model as well as add additional details about the vehicle. If you have multiple vehicles you can choose the default vehicle by setting it in the vehicles menu. This will be the vehicle that is automatically used for manual entries. You do not need to set this if you only have one vehicle. You can also set the default activity for the vehicle if it will always be used for that specific activity. This is not normally configured so we can leave it as No Default. If you ever change vehicles and need to track to a new vehicle you can create another vehicle and disable the old vehicle.
Now you are setup ready to track mileage. In the next video we will cover Autostart mileage tracking with TripLog.
Setting Up The App
Accepting Permissions
Some permissions may prompt automatically and will appear as systems messages. If you are unsure of which permissions to accept we will explain them below. If you want to make sure the app is set up correctly for Automatic Tracking the best option is to accept the permissions as they are offered.
Example:
Location Permission:
Allowing the location permission is very important to ensuring the app can properly record your trips and mileage in the app. The location permission does need to be set to Always Allow with Precise Location turned on. This will ensure that even if you are recording a trip and switch apps TripLog will still be able to record the trip accurately.
You will be prompted automatically to allow the Location Permission. Follow the steps below to see the Android Path to accepting the Location Permission.
Note About Troubleshooting the Location Permission:
If you choose “while in use” or “while using the app”, the Triplog app will not have your location if you switch to a different app or the screen is off. The operating system may remind you that TripLog is using your location and ask you if you want to change to While using but remember to Always Allow or Allow All the time for proper function.
If you choose an AutoStart then
Storage Access Permission
Another required permission the app will ask for is to Storage Permission Access. This permission is required to store the Trips, Expenses and Time entry as well as other related items. It may request access to photos, media and files or some variation of that request to allow TripLog to properly save items.
Background Tasks/Usage and Battery Optimization
The phone may ask you to allow the app to run in the background and disable battery optimizations. This is needed for the auto start to properly function and accurately capture mileage if the app is in the background.
Other Permissions
If your company opted for additional features like expense tracking, driving safety, or other upgraded features there may be additional permissions required to operate them.
Camera Permission
Camera Access is needed if you want to capture receipts or use any of the OCR functions like the odometer tool.
Android: Navigate to your device App Settings, Select TripLog, Select Permissions and Camera
iOS: Open an item that would request access to the camera like the Receipt Capture
Nearby Devices Permission
Nearby devices is required to use Bluetooth functionality for Car Bluetooth and our hardware tracking options. This will allow for those devices to connect and trigger tracking.
Android: Navigate to your device App Settings, Select TripLog, Select Permissions and Nearby Devices
iOS: Navigate to Device Settings > Select TripLog > Enable Bluetooth
Adding A Vehicle
How To Create a Vehicle
For you to begin tracking mileage you will need to create a vehicle. While the setup process may have created one automatically or your company may have created one for you. If there is not a vehicle there you can add one by clicking on the Add Vehicle or PLUS button to create a new vehicle. If there is one but it is named differently than you would like you can also edit that vehicle. You can update the Year, make and model as well as add additional details about the vehicle.
In the app (Both Versions) Main Menu ( ≡ three line icon ) > Show More > Vehicles
Default Vehicle Settings
If you have multiple vehicles you can choose the default vehicle by setting it in the vehicles menu. This will be the vehicle that is automatically used for manual entries and the default for MagicTrip and if you setup and Autostart for the first time. If you plan to have only one vehicle you do not need to choose this option.
Default Business Activity
You can also set the default Business Activity for the vehicle if it will always be used for that specific activity.
This is not normally configured so can leave the No Default option. Don't forget to save your changes
Disabling an Old Vehicle
If you need to track mileage on new vehicle you will want to add that vehicle through the steps above. If you no longer need to track on the old vehicle but may need the records you can disable it so it no longer shows up in the tracking selection but can be reported on.
